Getting started is easy.
Whether you need help with procurement, time billing, or project administration, our goal is to become a seamless extension of your team, not another complicated process to manage.
-
Every studio works a little differently.
We'll learn more about your business, your current workflow, the software you use, and where you need support most.
We'll also talk through your current workload to determine which hourly plan is the best fit.
-
Based on your needs, we'll match you with a dedicated Back Office coordinator who best fits your studio, software, and workflow.
Rather than assigning based only on availability, we focus on thoughtful matches that allow long-term relationships to grow.
-
Together we'll review:
Current projects
Existing workflows
Communication preferences
Software and file access
Immediate priorities
Your team's expectations
Our goal is to integrate smoothly into your studio from day one.
-
From there, your coordinator becomes part of your extended team.
Your coordinator keeps projects moving, communicates proactively, and supports your studio behind the scenes while you focus on the work only you can do.
As your studio grows, your support plan can grow with you.
-
Need additional support?
Moving into larger projects?
Your hourly plan can evolve alongside your business, making it easy to scale your support without hiring another full-time employee.
What you can expect from Back Office

Before we get started…
-
Yes. One of the biggest benefits of working with Back Office is consistency. You'll work with a coordinator who becomes familiar with your projects, communication style, and workflow.
If your support needs grow, additional team members may be introduced, but your coordinator will remain your primary point of contact whenever possible.
-
Our Back Office coordinator team specializes in the leading industry programs such as Studio Designer, Design Manager, Houzz Pro, Design Files, Mydoma, and Programa.
If your studio uses another platform, let's talk. We'll always recommend the best solution based on your existing workflow and our team's expertise.
-
Not necessarily. Some studios have well-established systems, while others are still building them. We'll meet you where you are and recommend practical solutions if improvements are needed.
-
Absolutely. Google Sheets is one of our favorite tools for procurement tracking, project coordination, and collaborative workflows.
Many of our clients use a combination of Google Workspace and other procurement software and task management tools.
-
Yes. Vendor communication is a core part of our procurement support. We can request pricing, follow up on production, track lead times, coordinate shipping, and help resolve issues as they arise.
-
That depends on your preference. Some studios prefer us to work entirely behind the scenes, while others are comfortable with us communicating directly with clients regarding logistics, scheduling, or project coordination. We'll establish communication expectations during onboarding.
-
Our monthly support plans reserve dedicated time for your studio each month. You'll choose the plan that best fits your current workload, and as your needs change, your plan can easily grow alongside your business.
-
Absolutely. Many of our clients begin with a smaller plan and increase their support as their projects and team grow.
-
Yes. While we don't provide bookkeeping services, we're happy to work alongside your existing bookkeeper or accounting team. Our goal is to keep procurement and project information organized so financial processes remain accurate and efficient.
-
We ask all new clients to commit to a three-month minimum engagement. This gives your coordinator time to learn your business, build momentum, and become a true extension of your team.
After that, support continues on a month-to-month basis.
